Setup Multi-Factor Authentication (MFA)

Setting up Multi-Factor Authentication (MFA) enhances the security of your account by requiring not only your password but also a second verification method, like a phone number or authentication app.

Below are step-by-step instructions for setting up MFA for Microsoft 365 with helpful screenshots.

Step 1: Sign in to Microsoft 365

Go to the Microsoft 365 sign-in page:
- Open your browser and visit: https://portal.office.com
Enter your Microsoft 365 account credentials:
- Type in your email address (e.g., yourname@company.com) and your password.
- If you're prompted for your organization’s password policy, follow the instructions to complete login.

Step 2: Access the Security Info Page

Once logged in, you’ll need to navigate to the Security Info page to set up Multi-Factor Authentication.

Go to the Microsoft 365 Account settings:
- Click on your profile picture or initials in the top-right corner.
- Select My Account from the dropdown.
Navigate to Security Info:
- On the left-hand sidebar, click Security info (under the "Security & Privacy" section).

Step 3: Set Up Multi-Factor Authentication

Click on "Add method":
- On the Security Info page, click on the Add method button.
Choose the Authentication Method:
You will be prompted to choose a second method for verification. The most common options are:
- Mobile App (Microsoft Authenticator): Recommended for ease and security.
- Phone Number: Receive codes via SMS or voice call.
- Email: Receive codes via email.

Scan the QR code:
- You will be prompted to scan a QR code. Back on your computer, click Next to generate the code.
- Point your phone’s camera at the QR code displayed on your screen.
Approve the notification:
- After scanning the QR code, the app will ask you to approve the sign-in.
- Click Approve in the Microsoft Authenticator app on your phone.

Step 5: Test MFA Setup

Complete the Setup:
- After approval, you’ll be returned to your Microsoft 365 security settings.
- Click Done to complete the setup.
Test Your MFA:
- You will be prompted to perform a test sign-in to ensure your MFA method is set up correctly.
- Enter your password as usual, and then approve the sign-in via the Microsoft Authenticator app.

Step 6: Additional Recovery Options (Optional)

It’s a good idea to add alternative methods (like a phone number) in case you lose access to your primary MFA method.

Add a recovery phone number:
- Go back to the Security Info page.
- Select Add method, then choose Phone.
- Follow the prompts to add a mobile number for recovery.
Confirm Your Settings:
- After adding recovery methods, Microsoft will send a test code to verify the number.
- Ensure you can access both methods for MFA recovery.

Confirm MFA Activation: You should now see Multi-factor authentication listed as active in your Security Info settings.
